Purpose

Why we process it

We use enquiry data to prepare transport quotations, plan and execute shipments, issue invoices, and communicate with you about a job. Technical data is used to keep the website available and secure.

We do not use your data for automated decision-making, and we do not sell it to third parties.

Preparing a quotation

Lane, weight and loading type from your request are used to work out a price you can accept or decline.

Planning and executing the shipment

Addresses and contact details go to the driver or partner operator running the load, so collection and delivery happen on time.

Invoicing and administration

Company and shipment records back the invoice and the transport file we are required to keep.

Keeping the site running

Server logs help us spot faults, block abuse and keep pages loading for everyone else.

Legal basis

Processing is based on the performance of a contract or steps taken at your request before entering a contract, on our legitimate interest in operating and securing the website, and on compliance with legal obligations where transport and customs rules require record keeping. Where consent is required, for example for non-essential cookies, it is requested separately.

Contract

Steps you asked us to take

When you request a quote or book a load, we need your enquiry details to answer it. If the job does not go ahead, that enquiry record is deleted once it is no longer needed for follow-up.

Legitimate interest

Running and securing the site

We keep basic server logs so the website stays online and misuse can be traced. This is limited to what is needed for that job, and you may object to it as described under your rights.

Legal obligation

Transport and customs records

Belgian and EU rules require us to keep transport, customs and accounting records for set periods. Those files cannot be deleted early, even on request.

Third parties

Sharing and retention

Shipment data may be shared with carriers, customs agents and partner operators where this is necessary to move your goods. They receive only the parts of the file their step in the job requires — usually the addresses, the cargo description and the documents for the border.

We keep transport and customs records for the period required by Belgian and EU law, and enquiry data for as long as needed to handle the request and any follow-up. Data no longer required is deleted.

Carriers and partner operators
Addresses, contact person, cargo description and loading instructions for the leg they run.
Customs agents
The declaration documents and consignee details needed to clear the goods at the border.
Enquiry records
Held while the request is open and for any reasonable follow-up, then removed.
Transport and customs files
Kept for the retention period set by Belgian and EU transport and tax rules.

Under the GDPR

Your rights

You may request access to your personal data, correction of inaccurate data, deletion, restriction of processing, and portability where applicable. You may object to processing based on legitimate interest. To exercise any of these rights, contact us using the details below.

You also have the right to lodge a complaint with the Belgian Data Protection Authority.

How do I request a copy of the data you hold about me?

Write to us at the email address in the contact block, or post to Raveschoot 22, 9080 Lochristi. Tell us which company or enquiry the request relates to so we can find the file, and we will reply within the period required by applicable law.

Can you delete a shipment record I no longer need?

Not always. Transport, customs and accounting records must be kept for the periods set by Belgian and EU rules, so those files stay on our side until the period ends. Enquiry data with no shipment behind it can be removed on request.

How do I object to server logging?

Send us a short note describing your situation. We will weigh your objection against the need to keep the site available and secure, and tell you what we decide and why.

Where can I complain if I am not satisfied?

You may lodge a complaint with the Belgian Data Protection Authority at any time. Raising it with us first often settles the matter faster, but it is your choice which route to take.

For the practical side of quoting and booking, the Contact & Quote Request page explains what to send us. Cookies used on this site are described separately in the Cookie Policy, and the Terms of Service cover the conditions for using this website.
